Let\u2019s look&nbsp;at&nbsp;the&nbsp;key aspects of backing up Dropbox:&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Why&nbsp;it\u2019s a good idea for businesses to back up Dropbox files&nbsp;<\/li><li>What are the limitations of Dropbox\u2019s versioning?&nbsp;<\/li><li>Can I use&nbsp;Dropbox\u2019s&nbsp;manual&nbsp;backup process?&nbsp;<\/li><li>How to easily back up Dropbox files with BackupAssist 365&nbsp;<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Why&nbsp;it\u2019s a good idea&nbsp;for businesses&nbsp;to&nbsp;back up Dropbox files&nbsp;<\/h2>\n\n\n\n<p>Two of the most common ways businesses use Dropbox are:&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li><strong>Sharing files with clients<\/strong> \u2013 for example, an accounting&nbsp;firm that&nbsp;receives&nbsp;files from&nbsp;clients, and&nbsp;sends back completed financial statements and&nbsp;tax returns.&nbsp;<\/li><li><strong>Collaboration amongst&nbsp;employees<\/strong>&nbsp;\u2013 used as a cloud-based \u201cfile server\u201d replacement, especially useful in a remote work environment.&nbsp;<\/li><\/ol>\n\n\n\n<p>Unlike personal situations&nbsp;where data loss is often inconsequential (and limited to the loss&nbsp;of sentimental&nbsp;memories), businesses have strong reasons to perform backups of data, such as:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Business continuity<\/strong>&nbsp;\u2013 to continue normal business operations&nbsp;in spite&nbsp;of&nbsp;a&nbsp;cyber attack&nbsp;or malicious employee action.&nbsp;<\/li><li><strong>Legal reasons<\/strong>&nbsp;\u2013 such as maintaining data and records&nbsp;in order to&nbsp;defend against future lawsuits.&nbsp;<\/li><li><strong>Compliance<\/strong>&nbsp;\u2013 ensuring that your business is compliant with regulations \u2013 which are often industry specific \u2013 such as keeping&nbsp;medical records for the life of the patient.&nbsp;<\/li><\/ul>\n\n\n\n<p>Dropbox&nbsp;<strong>does not<\/strong>&nbsp;provide automatic backups that cover all these situations. It does provide some functionality in terms of historic version retention&nbsp;and manual download functionality, but both options have severe limitations&nbsp;that&nbsp;we\u2019ll discuss below.&nbsp;<\/p>\n\n\n\n<p>As we get the discussion going, let\u2019s start by reviewing the definition of a backup:&nbsp;<\/p>\n\n\n\n<div style=\"padding:30px 50px 30px 50px;background:#d1dff1;font-weight:bold;color:#282561;text-align:center;\">A backup is an additional secondary copy of your data, which can be used for&nbsp;restore,&nbsp;in&nbsp;case your primary copy gets destroyed.&nbsp;<\/div>\n\n\n\n<h2 class=\"wp-block-heading\">What are the limitations of Dropbox\u2019s versioning&nbsp;features?&nbsp;<\/h2>\n\n\n\n<p>Dropbox\u2019s versioning features partially&nbsp;handle&nbsp;some of the use cases of backup. They do allow you to:&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Recover&nbsp;past versions of files, within a given window of time.&nbsp;<\/li><li>Recover deleted files, within a&nbsp;given window of time.&nbsp;<\/li><\/ol>\n\n\n\n<p>The window of time depends on the&nbsp;specific&nbsp;plan&nbsp;you have with Dropbox:&nbsp;<\/p>\n\n\n\n<p><strong>Personal plans:<\/strong>&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>30 days of history by default&nbsp;<\/li><li>1 year of version history with the \u201cExtended Version History Add-On\u201d (additional charges apply)&nbsp;<\/li><\/ul>\n\n\n\n<p><strong>Business plans<\/strong>:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>180 days of history by default&nbsp;<\/li><li>10-year version history with the \u201cExtended Version History Add-On\u201d or the \u201cData Governance Add-On\u201d (additional charges apply)&nbsp;<\/li><\/ul>\n\n\n\n<p>Aside from the drawbacks of having to pay additional fees for the extended version history (or being stuck with Dropbox\u2019s defaults),&nbsp;the in-built versioning features&nbsp;<strong>do not<\/strong>&nbsp;constitute a&nbsp;genuine&nbsp;backup. Here\u2019s a summary of why that\u2019s important:&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-table is-style-regular\">\n  <table style=\"border-collapse:collapse;border:none;width:100%;\">\n    <thead>\n      <tr>\n        <th style=\"width:30%;border-collapse:collapse;border:none;border-left:1px solid white;background:#008ECE;color:white;text-align:center;\"><strong>Why versioning is not a true backup<\/strong><\/th>\n        <th style=\"width:30%;border-collapse:collapse;border:none;border-left:1px solid white;background:#008ECE;color:white;text-align:center;\"><strong>Why that\u2019s important<\/strong><\/th>\n      <\/tr>\n    <\/thead>\n    <tbody>\n      <tr>\n        <td style=\"pading:30px;border-collapse:collapse;border:none;border-left:1px solid white;background:#f2f2f2;color:#282561;vertical-align:top;\">\n          <ul style=\"margin:20px\">\n            <li>Backup data should be a secondary copy stored on a separate system, but versioning is another primary copy, still stored on Dropbox\u2019s servers.<\/li>\n            <li>Backup data should be available even if the primary copy is unavailable (for whatever reason).<\/li>\n            <li>Versioning does not give you air-gap capability \u2013 i.e. the ability to keep an offline copy of your files.<\/li>\n            <li>While cloud providers should perform backups internally, that is for the cloud provider\u2019s goal of service continuity, rather than your business objectives (discussed above).<\/li>\n          <\/ul>\n        <\/td>\n        <td style=\"pading:30px;border-collapse:collapse;border:none;border-left:1px solid white;background:#f2f2f2;color:#282561;vertical-align:top;\">\n          <ul style=\"margin:20px\">\n            <li>Versioning is only available if you still subscribe to the Dropbox service. If you discontinue your account, your past versions will be lost.<\/li>\n            <li>You\u2019re relying on the security of the cloud service to protect against cyber attacks on your primary copy. In other words, all your eggs are in one basket, and someone else is minding that basket.<\/li>\n            <li>True backups are designed to protect against <b>unforeseen<\/b> circumstances, but versioning protects against only <b>known scenarios<\/b> of file overwriting and user deletions.<\/li>\n          <\/ul>\n        <\/td>\n      <\/tr>\n    <\/tbody>\n  <\/table>\n<\/figure>\n\n\n\n<p>In the ideal world, you\u2019d have at least two copies of your cloud data:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>The primary copy, stored in Dropbox, and&nbsp;<\/li><li>A backup copy, stored on a different network. Many people like local backups because you can physically hold the backup disk in your hands and know exactly where the data is.&nbsp;<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Can I use&nbsp;Dropbox\u2019s&nbsp;manual&nbsp;backup process?&nbsp;<\/h2>\n\n\n\n<p>It is possible to manually download your Dropbox data, and there are several articles such as this&nbsp;Cnet&nbsp;article \u201c<a href=\"https:\/\/www.cnet.com\/how-to\/how-to-back-up-your-dropbox-account\/\" target=\"_blank\" rel=\"noreferrer noopener\">How to back up your Dropbox account<\/a>\u201d&nbsp;that&nbsp;explains how to do this.&nbsp;<\/p>\n\n\n\n<p>However, a manual download has severe limitations:&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>It\u2019s a manual process, which makes it completely infeasible for businesses:\n    <ol style=\"list-style-type:lower-alpha;\">\n      <li>Relying on humans introduces human error.&nbsp;<\/li>\n      <li>The person performing the download will have access to all the data, which is a potential security risk.&nbsp;<\/li>\n    <\/ol>\n  <\/li><li>The download process&nbsp;only captures the current state of files, not the entire history.&nbsp;<\/li><li>Each download is a full download, but for efficiency, it\u2019s far better to do an incremental download (changes since the last backup).&nbsp;<\/li><li>At the end of it, you get a ZIP file. Generally, encryption is a useful security mechanism if your data is sensitive \u2013 such as Personally Identifiable Information (PII) which is subject to HIPAA and GDPR laws. You can choose a local folder, or a network share.
